These are locks in the system that holds your data, and each one has an automatic check behind it.

The rules sit where your data is kept

  • What an account can see is decided where your data is kept, not by the app.
  • Neither of the two roles a browser session can hold can get around that.
  • We run a count of anything left unprotected — it has to come back zero.

Our keys are shut out of your guest tables

  • The account we run the service from can't read guest names or numbers.
  • Nothing re-granted since, and no setting or support screen turns it back on.
  • The parts that must handle a name to work still do — on your instruction.
  • If anything ever handed them back, an automatic check catches it.
  • Outside it: our backup credential and owner-login resets — both in the policy.

A code, never a typed-in number

  • Every venue starts with phone verification on, and cannot turn it off.
  • It is deliberately not one of the settings your console can write.
  • Only we can change that, venue by venue, and it lands on an audit trail.
  • An RSVP taken without a code is never marked verified.

Encrypted on the way, and where it sits

  • Encrypted on the way to us, and on disk by the companies that host us.
  • A number that only needs checking is kept as a one-way fingerprint.
  • That fingerprint uses a secret held in the app, never in your records.
  • So a copy of the records on its own reveals nothing there.

Staff phones hold a code, not an account

  • Your staff never sign in — a phone pairs with a code and a PIN.
  • Five wrong PINs lock that phone out for fifteen minutes.
  • We never send a full number to a door or bar phone.
  • A bar phone gets no guest list at all.
  • A door phone sees at most a name and the last four digits.
  • That happens only once you switch guest identity on.
  • Revoke a lost phone: nothing more reaches your night while it stays revoked.

FAQ

General

Do we need to buy any equipment?
No. The door and bar screens are web pages that run on phones you already have, opened with your pairing code and a PIN. Nothing to buy, nothing from an app store, no NightCount app for a guest. The phone count on your plan is the total across your door and your bar, not one allowance each.
What happens when the WiFi dies mid-night?
The head-count keeps going — a check-in or a walk-in lands on your doorman’s phone first and syncs when the signal returns. Cover credit is the exception: sending a QR, looking up or topping up a balance, and the bar deducting a round all need a live connection. Pairing needs signal too, once.
A phone goes missing — or the person holding it stops working for us. Then what?
Revoke it from your console and that pairing dies on the spot, freeing the slot for a replacement at no extra cost on your plan. Don’t wait for a session to lapse: a phone that keeps syncing keeps itself alive. Whatever it already downloaded stays on it until it next reaches us and clears itself.
How do we pay?
There is no checkout. You start the free trial yourself; a paid plan is set up with us, and a venue already trialling just tells us to subscribe. We send a tax invoice monthly in advance, payable by UPI or bank transfer within seven days. We hold no card and no auto-debit mandate.
If it isn’t working for us, are we stuck?
No notice period, no cancellation fee. Email us from the owner’s own address and no further invoice goes out; service runs to the end of the month you’ve paid for. We don’t pro-rate a part-used month — your first invoice is the one that can come back to you in full.
The trial ends and we haven’t decided. What happens to our nights?
The venue goes read-only, not dark. You keep signing in, reading and downloading your reports and your guest list; what stops is running nights. Nothing is charged — we never took a card. Subscribe inside 60 days and it all comes back on, phones re-paired; after that we delete that venue’s data.

Privacy

Can whoever runs your lists see your guests?
No — only the RSVPs that came through their own link, never your walk-ins, never another list’s guests, never your venue’s history.
Can NightCount staff read your guest list?
Not through the account we run the service from — no names, no numbers, and no setting that turns it back on. Call support and we check the number you give us against a one-way fingerprint: we can confirm one you have; we can never discover one. Two things sit outside that account — the credential we keep to back the database up, and resetting the login of a venue locked out of its own account — and both, with what our database host can reach, are set out in the privacy policy.
What do your door and bar staff see?
A locked screen that can’t reach your dashboard at all — the group in front of them, never your totals, never your reports.
What does a guest hand over?
A name, a phone number proved by OTP, the guys/girls split of their group, an 18+ declaration, and consent at the button. By design, not policy. That declaration is for data protection, not a drinking-age check — your state sets the drinking age, and checking it at the door stays yours.
Who decides how long it’s kept?
While you run NightCount, you do: you set how long guest details are kept, erase any guest on request, and run that clean-out yourself. If an account closes, you get 60 days after a trial ends and 90 after a paid plan does to read and export everything, and then we delete it — spelled out in the terms.
